Assistant to the Director of Finance

Florida Grand Opera seeks a highly organized and detail-oriented Assistant to the Director of Finance. This role provides administrative, bookkeeping, and operational support and serves as a key liaison between internal departments and our external accounting team. Strong Excel skills—including pivot tables—are required.

Responsibilities

  • Process and code accounts payable and accounts receivable documentation.
  • Create customer invoices based on contracts or departmental requests.
  • Maintain organized digital and physical filing systems for invoices, receipts, contracts, and supporting documents.
  • Coordinate with external accountants by troubleshooting discrepancies, resolving missing documentation, and ensuring timely submission of monthly materials.
  • Follow up with internal departments to obtain receipts, approvals, and coding details.
  • Gather and organize documentation for grants, audits, and compliance requirements.
  • Build and maintain Excel spreadsheets; create pivot tables, lookups, and summaries.
  • Assist the Director of Finance with scheduling, follow-ups, and finance-related administrative tasks.

Qualifications

  • 2–3 years of bookkeeping or finance administrative experience.
  • Strong proficiency in Microsoft Excel (pivot tables, SUMIFS, XLOOKUP, data validation).
  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage confidential information.
  • Experience working with external accountants or multi-department workflows preferred.
  • Nonprofit or grant-funded experience a plus.

Pay: $23.00 - $26.00 per hour

Expected hours: 15 – 20 per week
